Refund & Cancellation Policy
This Draft Refund & Cancellation Policy explains how business customers can cancel or modify their [Syntropy AI Global LLC] subscriptions, when refunds apply, and how to export store and CRM data prior to account closure.
1. How to Cancel Monthly or Annual SaaS Subscriptions
You can cancel a monthly plan with [15 days] notice before your next billing date, or an annual contract with [30 days] notice before renewal.
Monthly Subscriptions: Month-to-month Starter or Growth subscriptions may be cancelled at any time via the workspace billing settings or by emailing support@[yourdomain.com] at least `[15 days]` prior to the next monthly renewal date. Your access continues through the end of the paid billing cycle.
Annual & Enterprise Contracts: Annual or multi-year Order Forms may be non-renewed by providing written notice to support@[yourdomain.com] or legal@[yourdomain.com] at least `[30 days]` prior to the end of the current contract term.
2. Refund Eligibility & Pro-Rated Termination Rights
Prepaid B2B subscription fees are generally non-refundable once a billing cycle starts, except if we fail to cure a material breach of our contract.
Because our services are commercial B2B software provisioned immediately upon order execution, prepaid monthly or annual subscription fees are non-refundable once the billing period has commenced, except where required by applicable law in `[State of Delaware, United States]`.
Pro-Rated Refund for Uncured Breach: If Customer terminates an Order Form due to an uncured material breach of the Terms of Service or SLA by [Syntropy AI Global LLC], we will issue a pro-rated refund of all prepaid, unused subscription fees covering the period after the effective termination date.
3. Custom Software Development Statements of Work (SOW)
For custom software projects, completed milestones and hours already worked are non-refundable, and you only pay for work completed up to the cancellation date.
For Custom Software Development engagements, payments for completed and accepted engineering milestones or time-and-materials hours already rendered are non-refundable. Either party may terminate a custom SOW for convenience upon `[30 days]` written notice; upon termination, Customer is responsible only for milestones and hours performed through the effective termination date.
4. Exporting Your Data Before Cancellation
Before your account closes, you have [30 days] to download all of your lottery logs, POS receipts, and CRM pipelines in standard CSV or JSON format.
For `[30 days]` following the effective date of cancellation, Customer administrators may export all historical lottery shift audits, POS transaction ledgers, and CRM contacts/deals in CSV or JSON format at no additional cost.
